Switch to envoice from another e-invoice app

Audience: Shop owner (Admin) Time: 15 minutes

You can move to envoice from another Zoho Books e-invoice app, such as e-Invoice Malaysia. Your past filings stay valid at LHDN. Nothing is filed twice.

1. Pick a cutover date

Choose the day envoice takes over. Documents before that day stay with the old app. From that day, submit everything from the envoice widget.

Do not submit the same document from both apps.

2. Register envoice as an ERP in MyInvois

envoice needs its own Client ID and Client Secret. See Get your LHDN MyInvois API credentials. Then connect Zoho Books.

3. What envoice detects automatically

envoice reads the old app's fields on each Zoho document.

  • Already filed. An invoice, credit note or debit note that already has an LHDN UUID from the old app is blocked. The widget shows "Already filed by another e-invoice app" with the UUID. envoice will not file it again.
  • Notes on old invoices. A credit, debit or refund note you file with envoice can adjust an invoice the old app filed. envoice uses that invoice's UUID from the old app's field.

Documents the old app never filed need nothing. envoice reads them from Zoho as they are.

4. Copy LHDN details on contacts and items

In envoice, open your shop, go to Zoho Integration, open Connection tools and click Copy LHDN details from previous e-invoice app.

envoice copies:

From the old app Into the envoice field
TIN TIN
Registration scheme (NRIC, BRN, PASSPORT, ARMY) ID Type
Registration number ID Value
SST registration number SST Registration
Item classification LHDN Classification
Product tariff code LHDN Tariff Code
Country of origin LHDN Country of Origin

Only empty envoice fields are filled. Your own values are never overwritten. A classification with no LHDN match is skipped and counted, so set it by hand. See Set LHDN fields on contacts and items.

A large organisation may need more than one run. Click again until it says nothing remains. Running it again is safe.

5. Revoke the old app

After the cutover date, revoke the old app's access in MyInvois (Representatives > ERP) so it can no longer file for you.

Keep the old app's fields in Zoho. They hold the LHDN UUIDs of its past filings, which envoice reads to block duplicates and to reference old invoices. Uninstalling an extension can remove its fields, so check with its provider before you uninstall it.
