View and manage your documents

Audience: All users (SME) Time: 3 minutes

The Documents page is where you track every e-invoice: its status, UUID, and what to do next.

1. Open the documents list

Open Documents from the top nav. You see all your e-invoices with their status, UUID, and total. The filter chips (ALL, VALIDATED, SUBMITTED, PAID, CANCELLED, REJECTED, FAILED) filter by status , the number on each is the count. The search + date + type filters narrow further.

Status meanings

  • VALIDATED , accepted by LHDN, has a UUID + QR. Done.
  • SUBMITTED , sent, waiting for LHDN to finalise (usually seconds).
  • REJECTED / FAILED , LHDN rejected it; open the document to see the reason.
  • CANCELLED , cancelled within the 72-hour window.

3. Open a document

Click any row to see the full detail: summary, buyer, line items, UUID, QR link, and the audit trail.

4. Document actions

From the detail page you can:

Document actions

  • Download PDF , the printable e-invoice.
  • View on MyInvois , open the official LHDN record (QR link).
  • Refresh LHDN status , re-check the latest status from LHDN.
  • Issue adjustment note , raise a credit, debit, or refund note against a validated invoice.
  • Cancel document , within 72 hours of validation, with a reason.

5. Filter by date range

Next to the search box is a Date range field. Click it to open a calendar and pick a start and end date (it shows two months side by side, so selecting a range is easy). Use Clear dates to remove the date filter. Combine it with the status chips, the document type, and the search box to narrow the list to exactly what you need.

6. Export to CSV or Excel

You can download your documents for record-keeping or an LHDN audit. The Export button sits in the top right. Click it and choose the format:

  • CSV , a comma-separated file that opens in any spreadsheet app.
  • Excel , an .xlsx workbook (amounts come through as real numbers you can sum).

Choose CSV or Excel

The export always matches what is on screen. If you have filters active (date range, status, type, buyer, or search), the button reads Export view and downloads only the matching documents. With no filters active it reads Export all.

Each row includes the dates (created, submitted, validated), the document number and type, the source, the buyer and TIN, the full amount breakdown (subtotal, discount, charge, tax, rounding, prepayment, total), the status and any rejection reason, and the MyInvois UUID, long ID, and QR link.

On the Zoho page, the same export is available with a simple month picker (choose a month, then CSV or Excel).
