Issue a credit, debit or refund note

Audience: All users (SME) Time: 2 minutes

After an invoice is validated, you sometimes need to adjust it: give money back, charge a bit more, or record a cash refund. In LHDN MyInvois these are separate documents that point back at the original invoice. envoice issues all three from the invoice itself.

  • Credit note (02) , reduce the amount (a discount, a returned item).
  • Debit note (03) , increase the amount (an undercharge, an extra fee).
  • Refund note (04) , record money actually paid back to the buyer.

1. Open the validated invoice

Go to Documents, open the invoice you want to adjust. It must be VALIDATED and have a buyer TIN (you cannot adjust a General Public / consolidated sale individually).

2. Click "Issue adjustment note"

Scroll to the bottom of the invoice and click Issue adjustment note. Pick the type: Credit note, Debit note, or Refund note.

Choose the adjustment type

3. Enter the adjustment

Fill in:

  • Description , why you are adjusting (e.g. "Returned one item").
  • Amount , the value to credit, debit, or refund (a positive number; the note itself handles the direction).
  • Tax type / rate , leave the default unless the adjustment carries SST.

4. Submit to LHDN

Click Submit ... note to LHDN. envoice builds the note, links it to the original invoice, signs it, and submits. Within seconds it validates.

Validated credit note

The new note appears in Documents as its own document, referencing the original invoice's number and UUID.

Debit and refund notes

The steps are identical , just pick Debit note or Refund note in step 2.

If the original invoice is self-billed (type 11), envoice automatically issues the self-billed variant of the note (12 / 13 / 14). You do not have to pick it.
