Collect buyer TINs at the counter
Typing a customer's TIN at a busy counter is slow and error prone. Let the customer enter it themselves instead, through your buyer request portal.
How it works
- You ring up the sale as a walk-in, as usual.
- The receipt carries a QR code. The customer scans it and enters their own TIN, ID and details on your request page.
- The request waits in Requests for your approval, or files straight away, depending on your setting.
- When approved, envoice files an individual e-invoice for that buyer.
Set it up
- Open Settings, then the Portal tab.
- Turn on Enable portal.
- Keep Review requests before filing on. Requests then wait for you instead of filing to LHDN immediately.
- Under Share the portal, click Print counter poster for an A5 PDF with your QR code, or Download PNG (print-ready) to add it to your receipts.
- Click Save portal settings.
On Pro and Enterprise, your portal can use your own address, such as yourshop.envoice.my.
Approve requests
- Open Documents, then Requests.
- Each request shows the receipt number, the buyer, the amount, and whether it matched a receipt in your records.
- Click Approve to file the e-invoice, or Reject with a reason, which is sent to the customer.
Check the match before you approve. If nothing matches, approving still files an e-invoice, using a single line for the amount the customer entered.
Why this works better
- The customer types their own TIN, so it is right more often.
- Your staff do not handle the customer's personal data at the counter.
- Sales where nobody asks for an e-invoice still go into the monthly consolidated e-invoice.
